Billing workflow

Use the billing workflow to move approved work from time capture through collection and reporting.

Time entries → Billables → Prebills → Invoices → Payments / Statements → Reports
Capture work in Time and billing using timers or timesheets.
Review approved time and expenses in Billing → Billables.
Group approved items into a prebill and review the totals.
Create an invoice, then generate a PDF, email it, or export a LEDES file as needed.
Record invoice or retainer payments and verify the invoice status.
Generate statements and billing reports to review client activity, collections, and receivables.

Billing stages

Capture

Time and billing is where your team records work. Timers and timesheets provide the entries that later appear in the billing workflow.

Unbilled work

Billing → Billables lists approved time entries and expenses that have not yet been invoiced. Review the case, timekeeper, and billing status before selecting items for a prebill.

Draft bills

Billing → Prebills groups approved unbilled time and related expenses before you create a final invoice. Review the prebill totals before converting it to an invoice.

Invoices

Billing → Invoices turns prebills and approved charges into client-ready bills. You can generate PDFs, email invoices in batches, and export LEDES files for e-billing. Invoice status includes Open, Printed, Emailed, Paid, and Partial Payment.

Payments and statements

Billing → Payments records money received against an invoice or billing entity. You can also apply retainers where your firm uses trust or retainer accounting. Billing → Statements summarizes client account activity for a billing entity and date range.

Analysis

Billing → Reports includes Billed & Collected, Collections by Attorney, and A/R Aging. Use these reports to compare billed amounts with collections and review outstanding receivables.

Firm setup

Firm administrators configure billing defaults under Billing → Settings. These defaults include the invoice prefix, next invoice number, footer text, and terms text.

Billing also uses Billing Entities for clients and payers with rate types, and Billing Codes for task and activity codes.

Review billing defaults, entity details, and billing codes before your team creates invoices. Invoice numbering and invoice text use the firm settings in Billing → Settings.
