Invoices
Create invoices, export PDF and LEDES, and email clients.
Invoices turn prebills and approved charges into client-ready bills that you can generate, deliver, and track in CaseWizard.
Create and manage invoices
Create an invoice after reviewing the related prebill or approved charges. Review the bill before sending it to the client or exporting it for e-billing.
The invoice review includes the charges selected for billing, applicable tax, and footer text from the firm's billing settings. Use the review step to confirm that the invoice reflects the approved work you intended to bill.
Invoice status
CaseWizard tracks these invoice statuses:
- Open: The invoice is open.
- Printed: A PDF has been generated or the invoice has been printed.
- Emailed: The invoice has been emailed.
- Paid: The invoice has been paid.
- Partial Payment: The invoice has received some, but not all, of the payment due.
Payment activity is recorded from Billing → Payments. When you record a payment against an invoice, verify that the invoice status updates to Paid or Partial Payment as appropriate.
Batch operations
Use invoice batch operations when you need to work with multiple invoices:
- Email multiple invoices in a batch.
- Export invoice lists to Excel for analysis.
- Delete invoices according to firm policy.
Before deleting an invoice, confirm whether it has linked payments and consider the effect on the billing record.
Invoice numbering uses the prefix and next number configured under Billing → Settings. Footer and terms text also come from the firm's billing defaults.
Delivery and e-billing
Generate a PDF when you need a document version of the invoice. Email invoices to clients from the invoice workflow, individually or in a batch. When your e-billing process requires it, export a LEDES file.
Choose the delivery method that matches the client's requirements and your firm's billing process. After delivery, use the invoice status to track the next stage of the bill.
